ERP & Inventory Software in 2026: One-Time Source Code vs Zoho, Odoo and NetSuite (5-Year Cost)
October 12, 2026 · ERP · Inventory Management · SaaS vs One-Time · Total Cost of Ownership · Zoho · Odoo · NetSuite
A fair 5-year cost comparison of one-time source-code ERP and inventory software against Zoho Inventory, Odoo and NetSuite subscriptions, covering pricing, data ownership, lock-in and where SaaS still wins.
If you're choosing ERP or inventory software in 2026, you'll mostly see subscription (SaaS) products: Zoho Inventory, Odoo Online, Oracle NetSuite and others like them. You pay every month, per user or per organisation, for as long as you use them. There is another way to buy: pay one time for the full source code and run the software on infrastructure you control.
This guide puts the two side by side using publicly listed pricing, so you can see what each costs over 3 to 5 years and decide which trade-offs suit your business. SaaS is the better choice in some situations, and we'll point those out.
Note on pricing: Competitor figures below are approximate, "starting from" amounts as listed publicly or reported by third-party pricing guides as of October 2026. Vendors change prices, discount by region, and negotiate. Always check the vendor's own pricing page before you decide.
What nearfree.shop actually sells
nearfree.shop sells business software as a complete source package with a perpetual organisation license. According to the site's pricing page:
- Business ERP: $714 one-time (customisation at extra cost)
- Inventory Management: $417 one-time (customisation at extra cost)
- Student Management System: $952 one-time
- WhatsApp Chatbot Automation: $595 one-time
- Custom Software: built to a fixed quote
The listed price includes the frontend, backend, database setup, a deployment guide and all product modules shown on the product page. The license lets your organisation keep using and modifying its copy without a required monthly software fee, and deploy it on your own cloud accounts or on-premise servers. Deployment help and ongoing technical support are separate, optional add-ons. The license also has limits: you may not resell, sublicense, publish or redistribute the code unless a separate written agreement allows it.
The SaaS alternatives, as publicly listed
Zoho Inventory (India pricing). There's a free plan (50 orders/month, 1 user). Paid plans start from about ₹999 per organisation per month billed annually (Standard: 500 orders/month, 3 users) and go up to about ₹7,499/month (Enterprise: 15,000 orders/month), not including GST. Extra users, orders and locations are paid add-ons.
Odoo (US pricelist). One App Free costs $0. Standard is listed at about $31.10 per user per month billed yearly, with a lower first-year introductory rate. Custom is about $61.00 per user per month and adds Studio, multi-company, external API access and on-premise/Odoo.sh hosting options. Odoo prices by country, so the price in India may be different. There's also a free, self-hostable Community edition.
Oracle NetSuite. Oracle doesn't publish a rate card. Third-party guides commonly report a base platform fee from about $999/month plus about $129–$199 per full user per month, sold as an annual subscription. Modules and implementation cost extra.
5-year cost: a worked example
Here's a simple scenario: a small business with 5 users that needs inventory plus core ERP. These are license and subscription costs only, using the public figures above. They leave out GST and other taxes, implementation, add-ons and hosting.
| Option | Pricing model | Year 1 | 3 years | 5 years |
|---|---|---|---|---|
| nearfree.shop Business ERP | $714 one-time | ~$714 | ~$714 | ~$714 |
| nearfree.shop Inventory Management | $417 one-time | ~$417 | ~$417 | ~$417 |
| Zoho Inventory Premium (₹2,299/mo, annual) | Per organisation, monthly | ~₹27,600 | ~₹82,800 | ~₹1,37,900 |
| Odoo Standard (5 users × ~$31.10/mo) | Per user, monthly | ~$1,500–$1,870* | ~$5,600 | ~$9,330 |
| NetSuite (base ~$999/mo + 5 × ~$129/mo) | Annual subscription, negotiated | ~$19,700 | ~$59,200 | ~$98,600 |
*Year 1 for Odoo depends on whether the introductory rate applies.
Costs the one-time option doesn't cover on its own: hosting (a cloud server or your own hardware), someone to deploy and maintain it, backups, security patching and any customisation. Add these to your budget honestly. Even so, for a small team they usually cost far less than a 5-year subscription. But they are real costs.
Head-to-head comparison
| Factor | One-time source code (nearfree.shop) | SaaS (Zoho, Odoo Online, NetSuite) |
|---|---|---|
| Pricing | Pay once; no required monthly software fee | Recurring monthly/annual fee, often per user |
| Cost as you grow | Adding users doesn't trigger new license fees | Costs usually rise with users, orders or modules |
| Source code | Full frontend and backend source included | Usually no source access (Odoo Community is an exception) |
| Data ownership | Data sits in your own database and servers | Data is on the vendor's cloud; export tools vary |
| Customisation | Modify the code yourself or get a quote | Limited to configuration, apps and higher-tier tools |
| Vendor lock-in | Low: you keep the code and deployment | Higher: stop paying and you lose access |
| Hosting & security | Your responsibility (or a paid add-on) | Handled by the vendor |
| Updates | You decide when to change anything | Automatic, continuous updates from the vendor |
| Support | Optional paid add-on | Usually included in the plan |
| Ecosystem/integrations | What's built in, plus what you build | Large marketplaces and ready-made connectors |
| Time to start | Needs deployment first | Sign up and start the same day |
Where SaaS genuinely wins
Here's where SaaS is the better fit:
- You have no technical staff and don't want any. With SaaS, the vendor handles servers, uptime, security patches and backups for you.
- You want new features automatically. NetSuite, Odoo and Zoho release improvements continuously, including AI features and compliance updates.
- You need many ready-made integrations. Zoho Inventory, for example, connects with Indian marketplaces and shipping partners out of the box.
- You're testing an idea. Free tiers, such as Zoho Inventory's free plan or Odoo One App Free, are hard to beat for a small trial.
- You need a large, multi-country, multi-entity setup with a global partner network. That's where NetSuite is built to compete.
Where one-time ownership wins
- Predictable cost over 3–5 years. You pay once instead of a fee that comes back every year and rises as your team grows.
- You own the code and the data. You deploy in your own cloud account or on-premise and keep full control of your database.
- You can change anything. With the full source, you can adapt workflows instead of working around a vendor's limits.
- No lock-in. If the vendor raises prices or changes plans, your installed copy keeps working.
- It works for clients in India and abroad. One price in USD, deployed wherever your data needs to live.
How to decide
- List the workflows you need now, such as orders, stock, purchasing and invoicing, and check them against the listed features.
- Price the full 5 years for both options, including hosting and support for the one-time option.
- Be honest about your technical capacity. If nobody can maintain a server, budget for the deployment/support add-on or choose SaaS.
- Ask for a demo and test a sample workflow with invented records before you buy.
